Audit History
This section contains a list of completed audits, providing a historical overview of past audit plans. We just see the completed audit details. We can’t able to edit the audit.
Table Structure:
The columns in the table include:
- Audit Name: The title of the audit plan.
- File Uploaded Date: The date on which the audit file was uploaded.
- Line Item Count: The total number of line items in the audit.
- Quantity Count: The total quantity of line items.
- Audited Line Item Count: The number of line items that have been audited.
- Audited Quantity Count: The quantity of items that have been audited.
Each row in the table represents a specific audit plan.
Navigation: Clicking on an audit plan will navigate the user to the Auditing Page.
Auditing Page:
Upon navigating to the Auditing page, users will find four distinct tabs, each with specific access permissions:
Stock Audit Tab:
Accessible only to auditors, allowing them to perform stock audits.
The Stock Audit tab is structured into three primary sections: the header, the middle input area, and the final audit summary.
1. Header Section
- Progress Bar: Displays the current status of the audit process.
- Audit Status: Indicates the current state of the audit:
- Not Started: The audit has not yet commenced.
- In Progress: The audit is currently underway.
- Completed: The audit has been finalised.
- Storage Input:
- Aisle-Bay: Input box for specifying the storage location.
- Complete Audit Button: Click to finalise the audit process.
2. Middle Input Area
- Audited Stock Item Input:
- Item Code: Field for the user to enter the item code; upon entry, the corresponding item name will auto-generate.
- Audited Quantity: Input box for recording the quantity audited.
- Location Input: Field to specify where the audited item is located.
- Damaged Quantity: This input will be displayed only if the Audit Damaged Inventory checkbox is enabled within the audit plan.
- Add Item Button: Click to add the audited item to the audit list.
- Clear Option: Allows users to clear the input fields for audited stock items.
3. Final Audit Summary
- Audited Stock Items Table:
- Item Code: Displays recently added audited items.
- Item Name: Corresponding names of the audited items.
- Auditor Name: Name of the auditor who performed the audit.
- Audited Quantity: Total quantity audited for each item.
- Damaged Quantity: Quantity of damaged items, if applicable.
- Location: Storage location of the audited items.
- Dropdown Option: Clicking this option in a row reveals an additional table containing:
- Audited Quantity: Total audited quantity.
- Damaged Quantity: Total damaged quantity.
- Location: Location of the items.
- Date: Date of the audit entry.
- Action: Contains a delete icon for removing the audited item.
4. Completing the Audit
Once the auditor has entered all audited items, clicking the Complete Audit button navigates the user to the Audit Declaration Page.
Audit Declaration Page Fields:
- Item Code: Displays the code of the audited item.
- Item Name: Displays the name of the audited item.
- Stock Quantity: Original quantity in stock.
- Audited Quantity: Quantity that has been audited.
- Damaged Quantity: Quantity of items deemed damaged.
- Discrepancy Type: A field for noting the reason for any discrepancies.
- Confirm Checkbox: Must be checked to confirm completion.
- Reason Dropdown: Options include:
- Theft
- Misplaced
- Inward Error
- Sale Error
- Others
Final Confirmation:
Upon checking the confirm box and selecting a reason for the audit discrepancy, clicking the Complete button triggers a confirmation message:
- Message: "Are you sure you want to complete the audit?"
- Options:
- Cancel: Closes the confirmation dialog without completing the audit.
- Complete: Finalises the audit.
If the user clicks Complete, a success message will display:
- Message: "Audit completed successfully."
Once the audit is marked as complete, it is ready for cross auditing.
Cross Audit Tab: Accessible exclusively by cross auditors, enabling them to validate audit results.
Audit Summary Tab: Restricted to the audit owner, providing an overview of the audit findings. And reopen audit button available, once user click on the reopen audit then the audit can reopened then we can do the auditing.
Settings Tab: Also accessible only to the audit owner, allowing for configuration and adjustments to the audit settings.
